How do I add a shared line?
Setup Instructions
Section titled “Setup Instructions”Creating the Shared Line Group
Section titled “Creating the Shared Line Group”- Navigate to Settings → Voice → Shared Line Appearances2. Click the**+ Add** button
- Complete the required fields:
- Shared Line Group Name: A descriptive title (e.g., “Your Company Name Shared Line”)
- Shared Line Owner: The person with edit permissions, typically an office administrator
- Shared Line Access Number: “This is essentially an extension number” — use a 3-4 digit number not in use elsewhere, preferably in the 300s range
- Number of Lines: Specify how many concurrent calls can be shared
- Toggle Is Enabled to ON
- Click Save
Adding Shared Line Buttons to Device Profiles
Section titled “Adding Shared Line Buttons to Device Profiles”- Go to Settings → Voice → Device Profiles
- Select your target device profile
- Choose Buttons in the left pane
- Click the + Add button
- Configure the button:
- Button Action: Set to “Shared Line Appearance”
- Label: Name sequentially (e.g., “Line 1,” “Line 2”)
- Select the group created above and its corresponding line
- Click Save
- Repeat for each line created
- Reorder buttons using Edit → Move Up/Down as needed
- Provision affected devices to apply changes
How It Works
Section titled “How It Works”A shared line must be configured on a phone number within Numbers → Options. When calls arrive, the shared line button flashes red, allowing anyone to answer. The button turns green once answered, preventing additional pickups. If “Active While Holding” is enabled, putting a caller on hold reactivates the red flashing state.Button States:-Red button: Call available for pickup
